In front of you are hundreds, perhaps thousands, of potentially relevant companies. What is the first thing to do?

The temptation is to open the platform, prepare a template and schedule the send. But the value of a database does not depend on how many emails it allows you to send: it depends on what you decide before you press “Send”. Who are we talking to? Why should our offer matter to them? What action do we want them to take? And how much can we reasonably ask of people who, in all likelihood, do not know us yet?

These questions mark the difference between sending emails and doing email marketing. And there is an often overlooked point: a first campaign is not only a way to communicate. It is also a way to learn.

1. The goal comes before the campaign

“We have a database of 5,000 companies, let’s send a mailing.” It is the most common approach, but it starts from the wrong question. The right sequence is the opposite: goal → audience → message → desired action.

A direct email campaign can serve very different goals: raising awareness of a company or a new service, promoting an event or webinar, driving qualified traffic to a landing page, collecting information requests, generating leads for the sales team.

The goal shapes the message, the call to action and, above all, the KPIs. That is why a click rate is never “good” or “bad” in absolute terms. The real question is: did that result bring us closer to the goal the campaign was built for?

2. The database is already a marketing decision

A B2B campaign starts long before the subject line is written: it starts when we decide which companies to talk to.

A targeted database lets you build your audience around the variables that matter to your business: industry, location, revenue, headcount, legal form. Bancomail, for example, covers more than 11 million companies, classified into 26 sectors, 292 macro-categories and 1,879 micro-categories, with integrated financial and size data.¹

Targeting does not simply mean reducing the number of recipients. It means increasing the likelihood that the message meets a real need. If a service is designed for manufacturing SMEs in the Lazio region with revenue between €5 and €20 million, a list built around those characteristics has greater strategic value than a much larger but less relevant one.

The first principle of direct marketing remains simple: it is not only how many companies we can reach that counts. It is which ones we choose to reach.

3. A cold list sits at the top of the funnel

In most cases, the companies in a newly purchased database have no relationship with our brand yet. We are at the top of the funnel (TOFU, Top of Funnel), and this profoundly changes what we can ask of the first email.

Expecting the first contact to produce a sale means giving the campaign a goal that does not match the recipient’s level of awareness. The first send has a different job: capture attention, spark interest, prompt a first action, surface useful signals.

A cold email, then, does not have to close a sale. It can open a relationship.

4. How to build your first B2B email

A note before the structure. When the contacts in a database do not come directly from the recipient, the first message they receive should be a notice under Article 14 of the GDPR, not a commercial proposal: who we are, where their data comes from, why we process it, for how long and how to exercise their rights. The notice should also give the recipient three choices of equal weight: delete their data, decide whether and on which topics to receive emails, or choose nothing, in which case they would not receive commercial emails. Consent to receive commercial emails is collected at this stage. The rules of the different countries and the notice templates are collected in the guide to B2B email by country. What is described below concerns the first commercial email, the one sent once we have obtained that consent.

A platform like ConnyLine makes the technical side of building an email easy, with a visual editor and customisable templates. But an easy tool is no substitute for a strong message. The first email has to get through two distinct moments.

Earning attention: sender, subject line, preheader

Recipients decide in a matter of seconds whether it is worth reading on. The subject line should not tell the whole story; it should give a reason to continue. Too generic, and it gets ignored; too salesy, and it immediately reads as promotional; if it relies on curiosity alone, it generates opens that do not reflect real interest. The aim is not an open at any cost, but the attention of the right person for the right reason.

The sender is the first signal of trust: a recognisable name and address, ideally a person or a company the recipient can associate with the message, work better than a generic mailbox. The preheader, the line shown next to the subject in the inbox, should complete the subject rather than repeat it, adding one detail that makes opening worthwhile.

Turning attention into action: the structure

Hook. The first lines must make clear why the message is relevant to the reader. Start from the recipient, not from your company.

Problem or opportunity. What situation are you addressing?

Value proposition. Not a list of features, but the answer to the implicit question: “what changes for me?”

Proof. Experience, numbers, clients, concrete cases: they close the gap between promise and credibility.

Call to action. In a TOFU campaign it is rarely “Buy now”. More often it is “See how it works”, “Register for the event”, “Read the case study”, “Book a call”.

The principle to remember: one email, one main goal. The call to action can be repeated, but it should always lead to the same action.

5. Before sending, decide what to measure

KPIs should not be picked after the campaign from whichever numbers look most interesting. Three real campaigns, three different contexts

Let’s look at three campaigns run with ConnyLine on targeted databases. These figures are not benchmarks: industry, audience, list size, offer and goal all differ. That is precisely what makes them interesting.

CTR refers to unique clickers over the total number of emails sent.

Case

Audience

Send

Open rate

CTR

Trainer

~2,200 SMEs in Rome

1st

30.78%

1.41%

Trainer

~2,200 SMEs in Rome

2nd

28.40%

4.20%

Software licence reseller

~3,600 companies

1st

23.70%

1.53%

Software licence reseller

list cleaned of bounces

2nd

28.90%

6.54%

Multi-sector solutions provider

41,832 companies

1st

11.35%

0.27%

A trainer: continuity creates new opportunities

A business trainer used a targeted list of around 2,200 SMEs in Rome to promote a free event presenting his training programmes, as part of a multichannel strategy.

Between the first and second send the open rate stays stable, while CTR rises from 1.41% to 4.20%. Without analysing individual data we cannot attribute the behaviour of single recipients, but the case highlights a principle: a single send does not exhaust a campaign’s potential. Continuity creates new touchpoints and new opportunities to respond.

A software licence reseller: the database keeps evolving after the send

A company selling software licences ran a first campaign to around 3,600 addresses. Before the second send, the list was cleaned of bounces.

A bounce is an email that is not delivered. There are hard bounces, caused by a permanent issue such as an address that no longer exists, and soft bounces, linked to a temporary problem such as a mailbox that is momentarily unavailable. Managing bounces properly helps keep the list clean and protects sender reputation and campaign deliverability over time.

There is also something worth knowing when reading results. In B2B, many corporate mailboxes are protected by security systems that may open messages and check links automatically. Opens and clicks should therefore be read critically: the most reliable signal remains what happens after the click, such as the visit, the request, the reply.

A database is not a static object. The initial targeting happens before the purchase; every send then adds information that makes the list cleaner and the following campaigns more effective.

A multi-sector provider: a broad audience calls for segmentation

A company providing solutions to several sectors, from infrastructure to hospitality, ran a campaign to 41,832 contacts: a far broader and more varied audience than in the previous cases.

Comparing percentages directly would not be very meaningful. The case does, however, show why list size alone does not guarantee a stronger response, and why segmentation becomes essential with such a diverse audience. Part of the value of a first send lies in the information it generates: which types of company showed most interest? Which segments should the next campaign be built on?

7. Tracking pixels: what changes in Italy from the end of October 2026

This learning process must also take into account an important regulatory change.

With decision no. 284 of 17 April 2026, published in the Italian Official Gazette no. 98 of 29 April, the Italian Data Protection Authority (Garante per la protezione dei dati personali) adopted Guidelines on the use of tracking pixels in email communications. Operators have six months from publication to comply, which means by the end of October 2026.²

A tracking pixel is an invisible image embedded in the message which, when loaded, records the open and other information about the interaction: it is the technology behind the open rate. In ordinary cases, the Guidelines require the recipient’s prior consent, which can also be withdrawn selectively, meaning people can keep receiving emails without being tracked. The Authority also sets out exceptions, including aggregated and properly anonymised statistics.

In practice, without valid consent to individual tracking, opens can no longer be used to understand who is interested. Aggregated, anonymised statistics will still provide an overall reading of the campaign, under the conditions set by the Authority.

The signal of interest therefore shifts to what recipients do: the click, the landing page visit, the form submission, the reply. Designing the first campaign so that interest is expressed through an explicit action becomes the condition for being able to measure it. For technical choices and legal bases, your privacy advisor remains the point of reference.

8. From the first signal to nurturing

When we buy a database, we know companies through their basic data: where they operate, which industry they belong to, how big they are. This information answers a first question: who might be interested?

The campaign adds a second layer of knowledge: who responded, and to what? Before the send we have a target profile; afterwards, we start to have signals that come from the relationship.

At that point the audience splits. Some will not react, some will show initial interest, some will take a meaningful action. These groups should not all receive the same communication: this is the job of nurturing, a sequence of content that gradually guides the prospect through the funnel.

an in-depth piece for those who showed interest in a specific problem;

a case study for those who want to know whether the solution works;

an event for those who need to get to know us better;

a sales contact when the signals are strong enough.

Automation makes these journeys manageable. But automation comes second: first you need to know what kind of relationship you want to build.

Database, strategy and technology

Bancomail helps identify who might be interested in the offer through database targeting. ConnyLine turns that target into communication and manages campaigns, segmentation and automation. Marketing strategy connects the two: it starts from who we want to reach, observes the responses generated by the communication and builds the next steps of the relationship.

Targeting → message → first contact → signal → deeper engagement → relationship → conversion.

A list of companies is not yet a strategy. An email is not yet a campaign. An open is not yet a commercial result. Direct marketing works when it stops being merely “direct” and becomes real marketing.

Ready to put this into practice? Discover the Bancomail + ConnyLine promotion.

Frequently asked questions

After buying a B2B database, what should I do first?

Don’t start from the template. First define the goal, target, offer, desired action and KPIs; only then build the email.

What is a good open rate in B2B email marketing?

There is no threshold that applies to every campaign. Database quality and targeting, sender reputation, subject line and any previous relationship with the recipient all affect the result. Open rate should be read in the context of each campaign, alongside other KPIs and, in Italy from the end of October 2026, in light of the new tracking rules.

Is one email enough?

Rarely. A sequence of communications creates more opportunities for contact, provided each send has a clear role in the journey and the list is kept clean.

What are bounces?

Undelivered emails. Hard bounces have permanent causes, such as a non-existent address; soft bounces are due to temporary issues. Managing them properly keeps the list clean and protects the deliverability of future campaigns.

What do the Italian Guidelines on tracking pixels change?

From the end of October 2026, tracking individual opens requires, in ordinary cases, the recipient’s prior consent. Aggregated and anonymised statistics remain possible under the conditions set by the Authority. The most reliable signals become explicit actions: clicks, forms, requests, conversions.

Daria De Marchis

CEO of Line2LEAD, owner of the ConnyLine brand

Notes

¹ Source: Bancomail, data updated October 2026.

² Italian Data Protection Authority (Garante per la protezione dei dati personali), Guidelines on the use of tracking pixels in email communications, decision no. 284 of 17 April 2026, published in the Italian Official Gazette no. 98 of 29 April 2026.

After buying a B2B database, your first email marketing campaign starts with the goal, audience, message and desired action, not with the template.
